SETUP USER DEFINED RATES
A User defined rate is used when a user or customer service wants to manually add additional charges to a consignment. V6 provides this feature so that extra charges can be captured at point of entry.
To setup User Defined Rate go to Menu>Administration>Rates>User Defined Rate Setup.

On this screen (see below), if the Customer Selectable field is ticked, this user-defined rate will be shown to the customer booking screen as an extra service for them to tick.
If the Fuel Levy Applies box is selected, then the rating process will take the fuel levy into account.
If the chargeable box is selected, this rate is a service which requires a payment when using this. The payment details related to this service is added to a consignment when it is reviewed by customer service users, often by adding a user defined rate to it.

SETUP DISTANCE & TIME RATES
This type of rate is based on distance and time of travelling to calculate the payment on a consignment.

SETUP FUEL LEVY RATES
Fuel Levy rate are used to recoup some of the operating cost associated to fuel.

SETUP RISK LEVY RATE
Risk levy can be applied onto a consignment booked within specified dates.
To setup go to Menu>Administration>Rates>Risk Levy Rate to setup. (Risk Levy can be applied at a global level, customer level or a ratecard level.)

SETUP AGENT RATES
An Agent rate is applied when calculating the charges that are payable to an agent. Like customer quoted rates, the user can define an Agent rate using various parameters and the quantity breakdowns.
Go to Menu>Rates>Agent Rates to setup agent rates.

From Location and To Location is used to look at consignments collect and delivery location. Locations are treed as Zone>Area>Town>PostCode>Suburb.

Vehicle type is used so rates can be defined by vehicle grouping.

MOBILE USER GUIDE (DRIVER)
BASIC FUNCTIONS
Log In
Firstly, user needs to ensure that they have a data connection Wi-Fi, 3G/LTE or 4G. Input the username and password then press the Login button.

Log Out
To logout from the system, use the button Logout at the home screen of V6 mobile.

Basic Navigation Between Screens
Use the button Home

on the right and left arrow
on the left to go back to the menu screen or previous screen.


GPS POLLING
This is a background process that constantly retrieves GPS coordinates of the device and submits to V6. The process is controlled from the server without any input from the users.
SETTING UP SCANNER FOR USE WITH V6MOBILE
V6 Mobile can be deployed on different configurations of phone and handheld devices. Some types of devices come with in-built laser scanners, some devices are not equipped with a laser scanner but instead use the cameras OCR function as a scanner. V6 Mobile can also support an external Bluetooth scanner.
Before you beginning scanning, it is important to configure the type of scanners for use.
From Home > Settings > Barcode Scanner > press Change.

If OCR with camera is selected, then wherever a scannable field is displayed, a Scan button will also be shown next to it, to launch the camera to scan bar codes.
In all other options, the Scan button will not be displayed next to a scannable field. To trigger the scanner, use the scanner’s trigger button. (physical trigger button)

SIGN ON GLASS & SIMPLE SCANNER OPERATION
V6 Mobile can be deployed on different configurations of phone and handheld devices. From Home > Settings > Barcode Scanner > press Change.
EXPRESS SIGN-ON-GLASS
This menu enables drivers to capture a customer’s signature where the consignment may not exist in V6 at the time of pickup or delivery. To access Express SOG, go to Home > Express SOG.
The driver can input the consignment number or item code, by using the keyboard or by pressing the Scan button and then scanning the barcode on the consignment note or item. The value will then be displayed in the box Barcode on the Express SOG screen. This value may be a consignment number or an item barcode.
In the Quantity box, input the number of items which are being loaded or delivered.
In the Name field, input signers name.
Place the signature in the white square box at the bottom of the screen.
If a delay at the pickup or delivery occurs, select the appropriate reason in the Delay box.
Click Submit to finish the transaction and send all information to the server.
Click Clear to clear the signature and sign again. (if the signer is not happy with the signature)
Note that only one barcode can be scanned with this function. In cases where the driver needs to scan and count multiple items, Batch Sign-On-Glass should be used instead.

BATCH SIGN-ON-GLASS
This menu lets the driver to scan multiple barcodes with corresponding quantities and submit a signature to V6. To access Batch SOG, go to Home > Batch SOG.
The driver will input or scan the barcode using either the built-in barcode scanner or camera. If the driver inputs the barcode manually, the user should press ENTER or the GO button on the keyboard to make it appear in the lower part of the screen. Each time a code is inputted or scanned, the quantity will be increased by 1.
After all the barcodes have been scanned, press Sign which will open the signature screen for the driver get the signature and signers details.
Select a delay reason if applicable, then press Submit to complete the operation.

DEPOT SCAN
This function is often used at a depot, when a driver is loading or unloading items/consignments. To access Depot Scan, go to Home > Depot Scan.
Depending on the operation being performed, the user should firstly select type of action such as loading or unloading.
In the depot selection box, the current depot must be selected. In cases where the driver has authority to access to only one depot, there is only a single option. If there is no depot assigned to the driver, all depots will be listed.
When all codes have been inputted, press SUBMIT to post all data to the server.

TASK
A task is either a pickup or delivery of a consignment which a driver needs to complete. The list of tasks of a driver is generated when a despatch operator allocates consignments or manifests to that driver.
When there’s a new task assigned to a driver, V6 mobile will alert the driver with a sound and visual notification on the mobile device.
On the V6 mobile home screen, the driver can see the number of pending or uncompleted tasks designated by a red badge on the task menu. To access the task list, go to Home > Tasks
The task list supports a search box which can be manually inputted or via a scanner. If a search term is manually inputted, the user must press ENTER or GO on the keyboard to trigger the lookup process.

On the search result table, the down arrow ↓ represents a delivery task and the up arrow ↑ indicates a pickup task.
The map marker button

on the top right corner of the screen is used to pinpoint all the driver’s tasks on a map.
To revert back to the task list tap the clipboard

on the top right corner of the screen.
Double-tapping on a consignment will open that individual consignment task. A single-tap will select a consignment which will turn green to show it has been selected, after multiple consignments are selected, tap Group task to perform an action on several tasks.
Examples are collect signatures for multiple consignments and record events for multiple tasks.

The below screen shots below show actions that can be performed on a task or a group of task.

ACTION MENU

EVENT
At the pickup or delivery point, Drivers may optionally record some events. The number of unfinished events is displayed in the red badge. Pressing the Event button will open the event screen for the driver to record against that event.
The green events are not mandatory whereas the events marked with * require the driver to mark the time prior to proceed with the next event.
DELAY
If a delay occurs whilst driving to or at a pickup or delivery point, the driver can use the Delay button on the task detail screen to record a delay reason which is updated into V6 in real-time against the consignment.
On the screen that opens, choose a reason, input the message then press SUBMIT to record a delay.

ITEM TRACKING
The Item Tracking function is used when a driver needs to record the number of items that are being loaded or unloaded at a certain point. In most cases, this menu is made mandatory as a business process. The driver is not able to proceed with next step until he finishes the Item tracking action.
Input the quantity of each product type, if there is an issue with quantity then select an applicable issue from the pull-down menu. If an issue has been recorded the driver will need to add a brief message as to why an issue has been recorded. Press the SUBMIT button to finish the item tracking action.

PHOTO
For some situations, the driver may need to capture pictures as proofs of damage or delivering to a particular location.
When the screen first opens, it will launch the camera function to capture a photo. If the driver cancels the camera, it can be reopened by touching on PHOTO button.
After capturing the photo, the driver can input a message or a note and press SUBMIT to complete the action.

SERVICES
Some customers may request additional services with their consignments, such as: delivering up a staircase, delivery requires additional labour or hand unloading a pallet and those may need to be charged as extras on the consignment.
Services that were booked at the time of creating the consignment will be shown by default. If there are extra services, the driver can then select an additional service from the pull-down menu, then press Add button to attach new services to the task. The driver can also record some comments in the comments box provided.
On the completion of an extra service, the driver should tick the box Completed and press SUBMIT for complete the action.

PALLET

This function is used to record the pallet movements on a consignment.
Input the number of pallets exchanged, returned or de-hired, then press Submit to complete the action.
MANIFESTS
In the line-haul scenario, long distance drivers will usually work on manifests and not on individual task.
When there’s a new manifest assigned to a driver, V6 mobile will alert the driver with a sound and visual notification on the mobile device.
On the V6 mobile home screen, the driver can see the number of pending or uncompleted manifests designated by a red badge on the manifest menu. To access the manifest list, go to Home > Manifest. The manifest list supports looking up by inputting or scanning a manifest number.

Touching on a manifest number will open the manifest detail screen from where the driver may accept, reject or manually add a consignment to the manifest. It is also possible to search for a specific task within a manifest by entering a consignment number or scanning it.
To accept or reject a manifest, press the ACCEPT or REJECT button.
At the originating depot, after all items from the consignments of a manifest have been loaded, the driver starts the trip by pressing the LOADING button, to effectively mark the manifest as loaded.
When the driver arrives at the destination depot and after all items from all consignments of the manifest have been unloaded from the truck, the drivers finishes the trip by pressing the UNLOADING button, to record that the manifest has been unloaded.
The button ADD CONSIGNMENT is used when a despatch operator needs to add more consignments to an existing manifest. For details of this function, refer to Allocation later in this guide.
ALLOCATING (MOBILE DESPATCH)
V6 Mobile can also be used as a despatch solution for businesses that prefer to use handheld devices to distribute jobs to their drivers. There are two ways to access this function, by pressing on the ALLOCATION menu from the home screen or by using the button ADD CONSIGNMENT on the manifest detail screen.
The allocation function on V6 Mobile supports distributing consignments to manifests and carriers.
From the manifest allocation screen, key in the manifest number, carrier number and consignment reference number or use a barcode scanner to input those values.
Multiple consignments can be added by pressing the ENTER or GO key after each consignment number or by scanning their barcodes.
Pressing SUBMIT will allocate all those consignments to the specified manifest and carrier. The For Myself tick box is used so drivers can allocate jobs to their vehicle.

MESSAGES
V6 Mobile has built-in messaging function which can be used as a communication tool between drivers and despatch operators or between other drivers.
This function is not SMS-based, it is carried over the data network and as long as the data allowance is not exceeded it will not cost any extra.
The despatch operator can use the despatch module to send messages to drivers. The drivers will be alerted on the device with a sound and a notification on the Message menu.
The Drivers can reply to the despatch operator by opening the message screen and typing a message. Tapping ENTER will send the message.

Drivers can actively communicate with others drivers by opening the message screen, then choose NEW MESSAGE.
In the TO field, start typing the userID of another driver. Then choose from the auto-complete list of drivers, type the message and send. (This function can only send messages between users in V6 on the same network)
