SETUP USER DEFINED RATES
A User defined rate is used when a user or customer service wants to manually add additional charges to a consignment. V6 provides this feature so that extra charges can be captured at point of entry.
To setup User Defined Rate go to Menu>Administration>Rates>User Defined Rate Setup.

Customer is for whom the rate is being setup for or blank for all customers.

Customer class is used to divide customers into categories (or groups) so one rate policy can be applied or leave blank for all.

Job type helps to categories the consignment for rating or leave blank for all job types.

Service type is used to rate consignments of a particular service or leave blank for all service types.

GL Account, GL Department and tax code are used to direct consignment revenue to the correct accounts.
On this screen (see below), if the Customer Selectable field is ticked, this user-defined rate will be shown to the customer booking screen as an extra service for them to tick.
If the Fuel Levy Applies box is selected, then the rating process will take the fuel levy into account.
If the chargeable box is selected, this rate is a service which requires a payment when using this. The payment details related to this service is added to a consignment when it is reviewed by customer service users, often by adding a user defined rate to it.
SETUP DISTANCE & TIME RATES
This type of rate is based on distance and time of travelling to calculate the payment on a consignment.
Go to Menu>Administration>Rates>Distance and Time Rates

SETUP FUEL LEVY RATES
Fuel Levy rate are used to recoup some of the operating cost associated to fuel.
To setup fuel levy rates, go to Menu>Administration>Rates>Fuel Levy Rates

Code is an alphanumeric field used to define the Fuel levy.

Description name for the Fuel Levy

GL code and Department code are used to direct revenue to the correct accounts.

Start and End date time the Fuel levy runs for.

Rate % is the percentage of revenue that is charged as fuel levy.

Add blank line creates a new line below the current fuel levy for future levy’s.
SETUP RISK LEVY RATE
Risk levy can be applied onto a consignment booked within specified dates.
To setup go to Menu>Administration>Rates>Risk Levy Rate to setup. (Risk Levy can be applied at a global level, customer level or a ratecard level.)

SETUP AGENT RATES
An Agent rate is applied when calculating the charges that are payable to an agent. Like customer quoted rates, the user can define an Agent rate using various parameters and the quantity breakdowns.
Go to Menu>Rates>Agent Rates to setup agent rates.

From Location and To Location is used to look at consignments collect and delivery location. Locations are treed as Zone>Area>Town>PostCode>Suburb.

Job type helps to categories the consignment for rating.

Service type is used to rate consignments of a particular service.

Vehicle type is used so rates can be defined by vehicle grouping.

Freight class is used to rate grouped product items.

Rate basis used to calculate based on Weight, Items, Pallets and Volume

Rate break type is used to define an unlimited number of volume break points, which can be stepped or normal.

CONSIGNMENT DESPATCH SCREEN
CONSIGNMENT DESPATCH
V6 has a sophisticated despatch function that delivers consignments and manifests to drivers with real time notification to alert the drivers of incoming jobs. The despatch function helps to reduce direct communication between operations and drivers, reduce paper waste, improve efficiency and quality of freight transport service.
DESPATCH SCREEN ACCESS
Despatch is the primary way in which consignments are allocated and despatched.
To access the Despatch module, go to Menu>Customer Service>Despatch.
There are multiple sections on the despatch screens – Consignment information, Manifest information, and Carrier/Driver information.
SECTION 1 - AVAILABLE CONSIGNMENTS
CONSIGNMENT
The list of consignments is displayed on the left of the screen.
In V6 Despatch you’ll see blue picklist buttons with an arrow.
In these fields, you can click to view the details which open in a separate window. The example below is from a consignment view.
SECTION 2 - AVAILABLE MANIFEST
MANIFESTS
The list of manifest is displayed in the middle section of the screen.
As in the consignment section you’ll see blue picklist buttons with an arrow. In these fields, you can click to view the details which open in a separate window. The manifest section also has a blue button with a pencil.
This opens a new in window which allows you to edit the manifest and click and drag consgiments on the manifest to reorder them.
SECTION 3 - AVAILABLE CARRIERS

The list of carriers is displayed on the left section of the screen.
THE DESPATCH SCREEN & OPERATION
FILTERING DESPATCH SCREENS
The first thing to do in the Despatch screen is set your filters for the consignments you’ll be allocating.
Click on the
button located in the top right corner of the consignment, manifest or carrier sections will enable users to change settings for search/filter conditions.
By default, the creation date is set to 7 day back from the current date.
ALLOCATNG & DESPATCHING
Once you are satisfied with the filters you can start to allocate consignments. Click on the consignment number or multiple numbers to highlight them.
Click and drag the highlighted consignments on to the manifest or carrier sections to allocate the consignment to that manifest or carrier.
Clicking on the manifest number will expand a list of consignments belonging to the current manifest. It is an important feature of V6 despatch that allows one consignment being attached to multiple manifests at the same time, provided there is only one owning manifest in an uncompleted stage.
To remove a consignment from a manifest or carrier, click on (X) icon preceding the consignment number, this will move the consignment back to the consignment section for reallocation.
To reallocate a consignment from one manifest or carrier to another, drag the consignment number on to another manifest or carrier.
Allocating a manifest is very much the same process as allocating a consignment. Click on the manifest number and drag the manifest on to the carrier to allocate the manifest to that carrier. Unlike consignment allocation you can only drag one manifest at a time.
The consignment, manifest and carrier sections of the screen are auto-refreshed after specified intervals. However, the user can manually refresh the lists by clicking the
icon which will bring through any new or modified data.
This icon,
on the title bar of carrier section, will display a map showing the location of all your carriers that are using the V6 mobile app.

On the list under a carrier, manifests are shown in italic font to distinguish them from consignments which are presented by normal font.
COMPLETING THE MANIFEST FROM DESPATCH SCREEN
Despatch users can set a manifest to complete, directly on the despatch console screen without using the manifest edit screen.
To set a manifest to complete, click the check box
on the right column of the manifest list. Once completed, there is no function to uncomplete the manifest.
v6 MESSAGING
V6Despatch has built-in communication tool to send messages between despatch operators and drivers.
On the Carrier section, click messaging button
to send messages to drivers. The column also displays number of unread messages in red.
In the messages window, input the driver id auto complete will narrow down the list of drivers. Once the driver or drivers have been selected you can type your message, then click SEND.
AUTO GENERATING MESSAGES
When certain events happen at the drivers end, V6 Mobile server will send alerts as messages to the despatch operators.
Currently this happens when the driver rejects a task or manifest.
